Where a med spa loses the inquiry

Most spas have more interest than they have records of. People reach the site, read the treatment page, and mean to book. The losses happen between meaning to and doing it, and no booking platform reports that gap.

What is different about a med spa

The first appointment is not the finish line. Neuromodulators wear off, laser packages run as a series, facials get sold by the month. A client is not won until she comes back, so the lead record cannot stop when an appointment is booked. If your reporting ends there, the most valuable list you own, the people who came once, sits outside the system.

The calendar moves demand, and the follow-up list is what you do about it. Series treatments need lead time, so body and skin questions arrive months before anyone wants the result. She asks in October and books in March, and nothing in a normal spa remembers October. A waitlist for a booked-out injector, an RSVP list for an event day, and a slow track for a season all cost less than buying the same attention twice.

Reviews sit inside the chain, not beside it. Clients check them before calling and check again before booking, so the request works best as a routine step at the end of a visit rather than an occasional campaign. We built a one-tap review-request tool for a New Jersey glass and mirror shop for that reason, and the same idea fits a front desk. What we will not do is write testimonials or describe anybody's result. That is reputation management, and reviews on your Google Business Profile deserve the same answering as the ones on the site.

One honest limit: how did you hear about us produces answers wrong often enough to mislead. People say Google when they mean a friend. Collect it beside tracked sources, never instead.

Who holds the lead record, and what a form should not hold

In this industry the booking platform usually owns the front door. It takes the appointment, holds the client list, sends the reminders, and often the marketing email too. That is convenient until the day you change platforms, and then you find out which parts of your history travel with you.

Our default is a first-party record: the inquiry, its source, when it was answered, and what happened next, on your own domain, exporting to a spreadsheet whenever you want it. Your scheduler keeps doing what it is good at. It stops being the only place your business remembers anything.

The other half is restraint about what gets collected at all.

Common questions

Is this the same as the SEO or Google Ads work you do?

No. Those two are traffic work, and each has its own page here. This one starts where they stop, at the moment somebody lands and has to become an appointment: the intake paths, the phone and text handling, who owns the reply, the follow-up, and a dashboard reporting which source produced a booking rather than a visit.

Our booking platform already has a form and sends reminders. What does this add?

Everyone who did not book. A scheduler starts its record at the appointment, so a question that never became one leaves no trace. It also puts calls, texts, form fills, and social messages into one list with a source on each, and keeps that history on your own domain, so it travels with you if you change platforms.

Can you guarantee a number of new clients a month?

No, and treat a promised number as a warning sign. Bookings turn on your market, your prices, your reviews, your menu, and how fast somebody replies, and no vendor governs those. What we will commit to is specific: source-tag every call, form, and text, surface how long each one sat unanswered, and repair whichever step leaks worst.

What will you not put on a med spa contact form?

Photos, medical history, medication lists, dates of birth, and anything else belonging in a clinical record. The form exists to scope an inquiry and start a conversation, not to collect a chart. If your providers review photos before an appointment, that goes through the channel your spa already uses for patient information.

Most of our inquiries come through Instagram. Does this still apply?

Yes, and that is usually the widest gap. Social messages get answered by whoever runs the account, on their own schedule, and never join the list the website's forms land in. Logging them the same way, plus one question on the form asking how they found you, puts social next to search in a single view.

What happens to someone who came in once and never came back?

In most spas, nothing, which is why she is at the spa down the road now. Past clients are the cheapest list you own and the one most often ignored. They go on their own slow track, timed to roughly when the treatment she had would be wearing off, and worded as a reminder rather than a promotion.
